Executive Assistant and Fund Administrator (o2h Ventures)

Job description

  • Communicating with new/existing investors as the first point of contact

  • Processing new investor applications and maintaining share registers

  • Provide investor updates, valuation reports, annual reports, and handling ad-hoc queries

  • Ensure timely delivery of EIS certificates, contracts and accounting information to investors

  • Organise and manage the deal flow that comes in from prospective investee companies

  • Liaising with fund administrators, accountants, lawyers, service providers, HMRC and nominee groups

  • Skills in writing independent communications over social media, web, print media, email, and letter

  • Contribute to data analysis, data tracking, marketing and PR functions

  • Coordinate with technology transfer offices, Universities, biotech’s and industry bodies

  • Support the drafting and peer review of key policies, processes, and documents

  • Manage the diary, travel, and schedules of the CEO

  • Managing the o2h Ventures board meetings, office functions, task tracking, events, and operations

  • Work closely with the leadership team to provide seamless support to the group

  • Management of complex calendars and scheduling, meeting prioritisation, large scale meeting coordination for CEOs

  • Organise, execute, and assist with team activities and logistics

  • Prepare reports, presentations as well as maintaining files, records, and correspondence for meetings

  • Reviews correspondence to ensure accuracy and completeness

Job requirements

  • 0-2 years in a similar role. Experience related to finance would be an added advantage.

  • Strong organisational, project management and problem-solving skills with impeccable multi-tasking abilities

  • Be highly organised with the ability to work independently in a fast paced team environment

  • Exceptional interpersonal skills

  • Friendly and professional demeanor

  • Ability to work in a team in a transparent and entrepreneurial culture

  • Outstanding business writing and proofing skills

  • Solid experience with office management systems and MS Office

  • Ability to write reports and prepare spreadsheets and presentations
